Fleet Service Co-ordinator (Dunstable)

Renault Truck Commercials based in Dunstable is looking for an individual who has strong administrative and organisational skills, with the ability to effectively manage multiple tasks and priorities to work within RTC’s Vertellus Department. In particular we are looking for experience of:

• Strong IT skills, including a good working knowledge of Microsoft Office applications, with the aptitude to learn our in house business systems and technologies.
• Experience within the motor trade, vehicle contract hire, fleet management, or transport industry is desirable

Position Details:

Monday to Friday 40 hours ON SITE 08.00 – 17.00 1 hour lunch

Paying up to £30,000

Overview of the role:

• Monitor vehicle service schedules and issue timely service reminders to ensure compliance with maintenance requirements.
• Liaise with service and repair providers, coordinating maintenance activities and raising purchase orders as required.
• Manage the Road Fund Licence (RFL) renewal process, ensuring vehicles remain compliant
• Upload and maintain vehicle, service, and compliance documentation within Fleet Master and customer management portals.
• Maintain accurate and up-to-date records within Fleet Master, ensuring data integrity across the fleet.
• Administer and process Penalty Charge Notices (PCNs), ensuring timely responses and accurate record keeping.
• Support proactive customer communications, providing updates on vehicle maintenance, compliance, and other fleet-related matters.
• Manage Smart Check (vehicle defects) reporting and administration, escalating issues where necessary and monitoring completion of required actions.
• Carry out general administrative duties, including handling incoming and outgoing post, filing, and maintaining records.
• Process and reconcile vehicle rental billing on a weekly and monthly basis.
